Role-Based Addresses and Suppression

Lead Gen & CRM will suppress emails sent to certain role-based email addresses and certain domains. Role-based email addresses are associated with a company, position, or group instead of a person. Learn which addresses and domains are suppressed and why.

Compared to personal email addresses that normally interact on a person-to-person basis, role-based emails are usually intended to distribute emails to a larger recipient list.

In some cases, role-based addresses are transferred from one employee to another as the employee transitions to a role.

A domain refers to the web address in which a collection of email addresses exists. Most individuals use a domain like @gmail.com, or @hotmail.com to receive email, while companies typically use their organization's website address as their email domain.

Address Suppression

Given the one-to-many nature of a role-based address, emails sent to these addresses have a higher-than-normal rate of bounces, unsubscribes, and spam complaints. In addition, role-based addresses often fall into disuse and are more likely to be repurposed as spam traps as a result.

When Suppression Occurs

Email sends to role-based email addresses are suppressed in the following cases: 

  • During a bulk-send of emails to a list.
    Role-based addresses using the prefixes mentioned above will not receive an email. All other email addresses in the list will receive an email.
     
  • When sending smart mail to an individual.
    Individual smart mail will not be delivered to role-based addresses using the prefixes mentioned above unless the Lead Gen & CRM user sending the email has mail sync enabled. 
     
  • Within automations that trigger an email send.
    Any automations that trigger an email send will not deliver mail to role-based addresses using the prefixes mentioned above. All other email addresses involved in the automation will receive an email. 


Import List Failure

When a new email contact list is imported, Lead Gen & CRM evaluates the overall quality of the list based on a variety of factors, including an evaluation done by a third-party verification service. If 45% or more of the list contains contacts with email addresses deemed suppressed, invalid, toxic, or purchased, Lead Gen & CRM will not allow the contact list import to continue. This measure is taken to both ensure the long-term health and viability of the platform and to protect your own sender and domain reputation.

 


 

Domain Suppression

The FCC prevents bulk commercial email to the following telecom domains because the messages go to wireless devices, including cell phones and pagers.

Note: Marketing messages will be blocked, but transactional notifications can still be delivered.
