Managing Billing Info Settings for Agencies in the European Union

This includes how agencies and clients approach their billing and payout preferences. Agencies in the European Union (EU) or United Kingdom (UK) have certain tax and bank issues to consider. This article will detail how to manage billing and payout settings in the Billing Info page.

Understanding This Document

This documentation is meant to show how to configure bank account and payment settings.

This documentation does not contain information on the many aspects and inner workings of Lead Gen & CRM's billing system. That information is located in a dedicated FAQ page.

Entering Stripe Payout Information

In order to set up billing in Lead Gen & CRM, you will need to designate a bank account into which Lead Gen & CRM will deposit your remittances from clients.

Be aware that this connection is only for these deposits from Lead Gen & CRM, and this connection will not be used to charge your agency. To designate bank accounts and set up billing, you will need to integrate Stripe with Lead Gen & CRM.

To enter bank account information through Stripe, do the following:

  1. Click  13personas.png  User Menu Settings in the top toolbar.
  2. Click Billing Info, located under My Company in the left panel.
  3. Click Connect Your Bank Account.
  4. Enter your payout information in the Stripe window that appears.
  5. Select to use either a bank account or a debit card for payouts.

Refer to Stripe's external documentation for additional information on entering information into Stripe.

Note: If you go Back in your web browser, you will need to start the integration process from the beginning.



Editing Saved Stripe Payout Information

There may be a time when you need to edit your billing information.

To edit previously saved bank account and payout information, do the following:

  1. Click  13personas.png  User Menu Settings in the top toolbar.
  2. Click Billing Info, located under My Company in the left panel.
  3. Click Edit payment info
  4. Edit your payout information as necessary.
  5. Click Save.

You can exit the Stripe browser tab once you have configured your information. Refer to Stripe's external documentation for additional information on editing information in Stripe.



Entering IBAN Payment Information

Just as you entered bank account information in order to receive remittance payments from Lead Gen & CRM, you will need to enter bank account information in order to pay license and service fees to Lead Gen & CRM.

You can enter payment information that utilizes either a bank account or a credit card as a primary payment method. Lead Gen & CRM strongly recommends using the bank account payment method, as it offers lower transaction fees and does not require as many updates to the associated account or billing information.

Some countries in the European Union support international bank account numbers (IBAN) in order to utilize bank accounts. To enter bank account information, do the following:

  1. Click  13personas.png  User Menu Settings in the top toolbar.
  2. Click Billing Info, located under My Company in the left panel.
  3. Click IBAN in the Choose a Payment Method section.
  4. Enter the name associated with the IBAN record
    in the Name field.
  5. Enter the IBAN information in the Card Details field.
  6. Click the The information provided will be
    used under the terms of the Stripe
    agreement
    checkbox.
  7. Click Save.

Important: The IBAN tab will only appear if both your company's country and currency information Company Profile  are set to EU countries that support IBAN. You will have 30 days to enter your payment information once you have created an agency account in Lead Gen & CRM. If you do not enter payment information within 30 days, your account will be suspended. 



Editing Saved IBAN Payment Information

There may be a time when you need to update or edit your IBAN information.

To edit your saved IBAN information, do the following:

  1. Click  13personas.png  User Menu Settings in the top toolbar.
  2. Click Billing Info, located under My Company in the left panel.
  3. Scroll to the Choose a Payment Method section.
  4. Click Edit/Change account
  5. Select the IBAN tab.
  6. Enter the name associated with the IBAN record in the Name field.
  7. Enter the IBAN information in the Card Details field.
  8. Click the The information provided will be used under the terms of the Stripe agreement checkbox.
  9. Click Save.

Note: To cancel any changes to your information, click Cancel. Your settings will revert to the most recent bank account or credit card on file.



Entering Credit Card Payment Information

If you prefer, you can use a credit card instead of a
bank account for billing purposes.

To enter credit card information, do the following:

  1. Click  13personas.png  User Menu Settings in the top toolbar.
  2. Click Billing Info, located under My Company in the left panel.
  3. Click Credit Card in the Choose a Payment Method section.
  4. Enter the name on the credit card in the Name field.
  5. Enter the street address attributed to the credit card billing address in the Billing Address field. 
  6. Enter the city attributed to the credit card billing address in the City field.
  7. Enter the state attributed to the credit card billing address in the State field.
  8. Enter the postal code attributed to the credit card billing address in the Postal Code field.  
  9. Enter the country attributed to the credit card billing address in the Country field.
  10. Enter the credit card number in the Card Number field.
  11. Enter the credit card expiration date in the MM/YY field.
  12. Enter the three-digit card verification code (CVC) into the CVC field.
  13. Click the The information provided will be used under the terms of the Stripe agreement checkbox.
  14. Click Save.

Note: If your credit card billing address information is the same as the Company Profile, you can click the Use company address for billing checkbox to automatically populate those fields. 

Important: You must click the The information provided will be used under the terms of the Stripe agreement checkbox in order to save your credit card information. You will have 30 days to enter your payment information once you have created an agency account in Lead Gen & CRM. If you do not enter payment information within 30 days, your account will be suspended. 



Editing Saved Credit Card Payment Information

There may be a time when you need to update or edit your credit card payout information.

To edit your saved payment information, do the following:

  1. Click  13personas.png  User Menu Settings in the top toolbar.
  2. Click Billing Info, located under My Company in the left panel.
  3. Click Edit/change
  4. Select the Credit Card tab.
  5. Enter your new credit card information.
  6. Click Save.

When saving new credit card information, your newly saved credit card will replace your previous payment method. Once the system has determined that your credit card is active and usable, the credit card will be verified. This verification process is normally instant, though it can take more than a few minutes to complete.

Important: You must click the The information provided will be used under the terms of the Stripe agreement checkbox in order to save your changes. 

Note: To cancel any changes to your information, click Cancel. Your settings will revert to the most recent bank account or credit card on file.



Entering VAT Information

If you are located in a country that is part of the European Union or United Kingdom (UK), you will most likely need to enter value-added tax (VAT) information, if applicable, in order to receive payments.

To enter VAT information, do the following:

  1. Click  13personas.png  User Menu Settings in the top toolbar.
  2. Click Billing Info, located under My Company in the left panel.
  3. Scroll to the Value-Added Tax section.
  4. Enter your VAT number in the Enter your agency's VAT number field, if applicable.
  5. Click Save.

Editing VAT Information

You can edit your VAT information as necessary.

To edit VAT information, do the following:

  1. Click  13personas.png  User Menu Settings in the top toolbar.
  2. Click Billing Info, located under My Company in the left panel.
  3. Scroll to the Value-Added Tax section.
  4. Click Edit/change.
  5. Enter your new VAT number in the Enter your agency's VAT number field, if applicable.
  6. Click Save.

Regarding IBAN and VAT Information

As an agency in the European Union, you may have clients in different parts of or outside of Europe. When configuring IBAN and VAT information, be aware that there are certain instances where IBAN or VAT may not apply. Please consult a tax advisor to find out if VAT  is required for your business.
 

Countries Supporting IBAN

Not every country in the European Union supports IBAN. Please consult a licensed tax advisor to find out if the country relevant to your business supports IBAN. 
 

VAT International Settings

When dealing with international clients, be aware that there are certain circumstances where you may not need to use VAT. Please consult a tax advisor to find out if you need to use VAT. 



Regarding Payment Thresholds

To avoid errors and potential issues, Lead Gen & CRM will not provide a payout if your agency's payout balance is below a minimum threshold. That threshold is based on your selected currency. These thresholds are as follows:

  • Agencies with bank accounts that use the Euro (EUR) have a minimum payout of 1.00 euros.
     
  • Agencies with bank accounts that use the British pound sterling (GBP) have a minimum payout of 1.00 pounds.
     
  • Agencies with bank accounts that use the Swiss franc (CHF) have a minimum payout of 5.00 francs.
     
  • Agencies with bank accounts that use the Danish krone (DKK), Norwegian krone (NOK), or Swedish krona (SEK) have a minimum payout of 20.00 kronor.


Be aware that if your available account balance is less than the minimum payout amount, then it will remain in your Stripe account until your balance increases.
