Create lists and segments

Article: 000054016
Updated: April 22, 2025

Organize your contacts by creating your own lists, or use our segment builder to select criteria that automatically adds contacts to a segment when they meet the criteria, or removes them when they no longer meet the criteria

Think of your contact lists and segments as buckets or containers that you store your contacts in until you're ready to use them. At a basic level, lists and segments help sort your contacts into groups. You have the flexibility to create lists on your own based on what you know about your contacts, or create a segment and select criteria, based on things like contact information and behavior, to automatically add contacts to your segment when they meet the criteria. Here's how to create lists and segments:

  1. In the left-hand menu, click Contacts > Lists and segments.
  2. Click the Create list button.

Contacts menu expanded and Lists and segments option selected, Lists table with Create list button in upper right-hand corner

  3. Select the type of list you want to create and click the Continue button:

Create a list

You can create up to 1,000 lists within your account to help organize your contacts. Contacts can be added to multiple lists, and you can move them around as needed. Lists can also be renamed to help you stay organized.

  1. Give your list a unique name so you can easily find it again later. Each list name can have up to 255 characters.
  2. Click the Save button.

  3. From the List view, you can upload contacts into your new list or create a sign-up form and link your new list to your sign-up form. These options remain available until you add contacts to your list.

Create a segment

When you create a segment, contacts are automatically added based on criteria, such as contact information, list membership, and email, SMS, and shopping activity.

  1. Click anywhere on the segment name to change it to something more easily recognizable. Your segment name can have up to 80 characters.
  2. Click the + Add Criteria button.

  3. Select a criteria category from the first column in the Criteria overlay to help narrow down your choices.
  4. Select the specific criteria from the second column of the Criteria overlay, or use the search to find criteria. If you change your mind, you can always select different criteria later.

  5. Select the operators for your criterion. The operators let you define how you want to include or exclude contacts from the criteria. For example:
Tag membership is Senior Discount Eligible
Tag membership is not Needs Kids menu
  6. (Optional) To add more criteria to a group, click the + Add Criteria button. When you have multiple criteria, AND/OR logic is applied so you can define how broad or narrow you want your criteria to be. AND logic is the most restrictive because both criteria must be true for a contact to be added to the list. OR logic is the least restrictive because it allows either criterion to be true. For example:
Tag membership is Senior Discount Eligible AND List membership is Brunch attendees
Tag membership is Senior Discount Eligible OR List membership is Senior menus and specials
  7. (Optional) To add a new group, click the + Add criteria group button.  AND/OR logic is applied between the groups. For example:
Tag membership is Senior Discount Eligible AND List membership is Brunch attendees

    OR

List membership is Senior menus and specials OR List membership is Senior Center patron
  8. When you're finished, click the Save segment button in the upper right-hand corner of the segment builder.
