Fill a newsletter-style email with engaging content

Create a short, targeted, and informative newsletter-style email that entices contacts to both open and take action

Email newsletters go above and beyond the standard marketing email because they're not just trying to sell you something - they're designed to inform, engage, and entice the reader to take action. The old standard was to send one monthly email with a little something for all readers, but times have changed. Breaking the content up into several shorter emails and sending them to more targeted email lists increases engagement.

Including the right content

What do you put in an email? Sometimes the content comes easily, but if writing your email feels like a daunting task, it's probably time to rethink your approach. Instead of writing for your entire contact list, think about what draws your contacts to your organization, and then break your contacts into groups based on the types of content they need. Next, brainstorm your ideas for each group and send each group its own version of your newsletter. This way, you can get into more detail for the relevant portion of your audience without disengaging the rest of your readers.

Newsletters work best when they have a defined objective. Here are some ideas to help get you started. Use the ones that make the most sense and save the rest for a later email:

  • Give status updates - Feature a project and then give status updates, budget updates, or simply recap what your organization has been up to since your last newsletter.
  • Set a goal - Define a goal, share progress over time, and celebrate your success when you meet your goal.
  • Share knowledge - Give a tip to show off your expertise, or share informative facts, stats, or quotes that are relevant to your audience and support the main purpose of your newsletter. Don't forget to cite your sources!
  • Ask for help - Include a call-to-action to ask for donations, volunteers, opinions, feedback, or suggestions, or ask your contacts to make a call or sign a petition.
  • Get personal - Interview someone in your organization or community and tell a compelling story about their work or about how your organization has impacted them. Use images that back up your message!
  • Set a schedule - Share a calendar or timeline of upcoming events and activities. Ask for an RSVP, or if you're requiring registration, make sure to include links to register!
  • Make it shareable - Anticipate that some of your contacts will share your email and include a small blurb about your organization and a subscribe button. Add icons for your social media pages or buttons to let your contacts share on their social media pages too!
  • Link to the past - Create a "Previous Emails" section and link the permanent URLs for previous sent emails.

As you create and send new emails, keep your formatting consistent - making it familiar helps readers find the part that is important to them.

 

Getting the right length

Newsletters are often compared to newspapers, but when was the last time you read a full paper cover-to-cover? You skip to the sections that matter most and ignore the rest, which is exactly what happens to long newsletters. Or even worse, the email gets saved to the "I'll read it later when I have more time" folder and forgotten about. If your email is long, consider breaking it into smaller, more frequent mailings that have a clearer purpose, and segment your list to make sure the information is getting in front of the right readers.

Keeping your email short is great for short attention spans, but it doesn't mean that your email has to sacrifice content! As long as your content is relevant to your readers, you can add a little bit more of it. Here are some great ways to add lots of content in a small footprint:

  • Button - When you want your readers to take an action, it should be as easy as possible. A button lets you link off to a webpage and stands out better than a text link. When you choose the URL to link to your button, make sure to eliminate as many extra clicks as possible.

  • Read More block - If you don't want to repeat information you already have on your website or blog, this block is great! The block pulls a small blurb and image from the URL you paste into it, and includes a "Read More" button that encourages your readers to take an action.

  • Video block - Videos pack lots of informational punch and don't take up too much space in your email. Just paste the URL for your video, and the block pulls in a thumbnail image for you.

  • Dynamic content block - If you only need to make small changes to your content, our dynamic content block lets you create multiple content blocks in a single email, and then choose which contacts see each one. Your email looks long to you while you edit it, but is shorter for your readers!

When you send shorter emails, you end up sending with a little more frequency, so be reliable. Set an expectation with your contacts and stick to your schedule as best you can. You'll be surprised how much easier your email is to write and get out the door when it's shorter!
